How Caezen handles the personal data you share through this website — what is collected, why, where it goes, how long it is kept, and the rights you have over it.

The Short Version

This website collects very little. The full detail is below, but these are the three things most people want to know.

Only the Contact Form Collects Data

The contact form is the only place on this site that asks for personal details. They are used to answer your enquiry and for nothing else.

No Cookies, No Tracking

This site sets no cookies and runs no analytics or tracking scripts. There is nothing to consent to and no banner to dismiss.

Your Data Stays Yours

Your details are never sold or passed to third parties for marketing, and you can ask to see, correct or delete them at any time.

Who we are

Caezen is the data controller for any personal data collected through this website, caezen.co.uk. That means we decide what is collected and why, and we are responsible for looking after it.

What we collect and why

The only part of this site that collects personal data is the contact form. It asks for your name, business name, email address, phone number and message. Name, email address and message are required; business name and phone number are optional.

We use those details solely to respond to your enquiry. They are not added to a mailing list and they are not used for any other purpose.

When the form is submitted, the message we receive also records the time it was sent and the IP address it came from, which helps us tell genuine enquiries from automated abuse of the form. To limit that abuse, the server keeps a record of the sending IP address in keyed-hash form, which cannot be turned back into the address. It is not linked to your enquiry, expires after one hour, and is deleted automatically once it has expired.

Lawful basis. Under UK GDPR we rely on our legitimate interests — responding to a business enquiry that you chose to send us — and, where your enquiry is about engaging Caezen, on taking steps at your request before entering into a contract.

Where it goes

Your enquiry is delivered by email to a Microsoft 365 mailbox that Caezen controls. The website itself is hosted by Krystal, a UK hosting provider, whose servers process the form submission and send that email. Krystal and Microsoft act as service providers on our behalf.

We do not share your details with third parties for marketing, and we never sell them.

How long we keep it

Enquiries are kept for 24 months and then deleted. If an enquiry leads to a piece of work, the details form part of the record of that engagement and are kept for as long as it requires.

Cookies and tracking

The public pages of this site set no cookies and use no analytics or tracking scripts. The only cookie is a strictly necessary session cookie set when Caezen signs in to the site's private admin area; visitors to the site never receive it. Like any web server, the hosting platform keeps short-term access logs for security and fault-finding; Caezen does not use them to identify or profile visitors.

The site's typeface is served from this website's own server, so viewing a page makes no request to Google or any other third party.

Businesses we may contact

Separately from this website, Caezen keeps a list of local businesses it may contact about its website and digital services. The details come from publicly available business listings on Google Maps: business name, business phone number, address, website, opening hours and map location. We may add an email address the business has published, and notes of any conversation we have with it, such as whether it is interested and any price we quoted.

For a limited company these are business details. For a sole trader or partnership some of them are personal data, so this part of the notice applies to you.

Lawful basis. We rely on our legitimate interests in contacting businesses that may benefit from our services. We do not buy these details, share them with anyone for their own marketing, or sell them.

Before we call. We check every number against the Telephone Preference Service (TPS) and Corporate Telephone Preference Service (CTPS) registers, and we do not make marketing calls to numbers on either register.

How long we keep it. A business stays on the list until we remove it. We remove a business whenever it asks us to.

Asking us to stop. If you do not want to hear from us, tell us when we call or email info@caezen.co.uk. We will stop contacting you straight away. We keep your business name and phone number marked "do not contact" so that you are not added again by a later listing search; if you would rather we delete even that, say so and we will.

Your rights

Under UK GDPR you have the right to:

  • Access — ask for a copy of the personal data we hold about you.
  • Rectification — have inaccurate or incomplete data corrected.
  • Erasure — ask us to delete your data.
  • Restriction — ask us to stop using your data while a concern is resolved.
  • Objection — object to our use of your data where we rely on legitimate interests.
  • Portability — receive the data you gave us in a common, machine-readable format.

To exercise any of these rights, email info@caezen.co.uk. There is no charge, and we will respond within one month.

If you are unhappy with how we have handled your data, you have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk (opens in a new tab). We would welcome the chance to resolve any concern with you first.

Changes to this notice

We may update this notice from time to time — for example, if the way this site collects data changes. The current version is always published at caezen.co.uk/privacy/, with the date it was last changed shown at the top of the page.
